Introducing Custom Datasheets in the Caident Submittal Generator

Caident’s Submittal Generator makes it easier to build fire sprinkler submittal packages by giving you access to an extensive, vendor-agnostic catalog of product datasheets.

But no matter how much the catalog grows, we know there will always be products and documentation that aren’t available in Caident yet.

That’s why we’ve introduced Custom Datasheets, giving your organization the ability to upload, save, and reuse its own product datasheets alongside the products already available in Caident.

Why We Built Custom Datasheets

We’re continually expanding Caident’s parts catalog with products and datasheets from manufacturers across the fire sprinkler industry. However, we also know that our catalog won’t always have every product your team needs.

You may use a product we haven’t added yet, need documentation for a less common part, or have a specific datasheet your company prefers to use.

Custom Datasheets give you the flexibility to fill those gaps without having to wait for a product to be added to Caident’s main catalog.

Upload the datasheet once and it becomes available when building future submittal packages.

Share Custom Datasheets Across Your Organization

Custom Datasheets are saved at the organization level, rather than to an individual user’s account.

That means when someone on your team uploads a custom datasheet, other users within the same Caident organization can find and use it when creating their own submittal packages.

This helps keep your team working from the same set of product documentation. Instead of individual team members maintaining separate copies of datasheets, your organization can build a shared collection that everyone can access.

As your team adds the products it regularly uses, your Custom Datasheets library can become a reusable resource for future projects.

How to Add a Custom Datasheet

Adding a custom datasheet only takes a few steps.

1. Open Custom Datasheets

From the side navigation in Caident, select Custom Datasheets.

This opens your organization’s Custom Datasheets library, where you can view and manage the datasheets your team has uploaded.

2. Add a Datasheet

Click Add Datasheet in the upper-right corner.

3. Upload Your Datasheet

Enter a name for the datasheet and upload the corresponding file.

You can also provide additional product information, including:

  • Manufacturer
  • Part family name or model
  • Part number
  • Description

These fields are optional, but adding them makes your custom datasheets easier to identify and find when searching for products later.

Once you’ve entered the information you want to include, save the datasheet. It will now be available to your organization.

Finding Custom Datasheets When Building a Submittal

You don’t need to use a separate workflow when you want to add a custom datasheet to a submittal.

Custom datasheets appear when performing a normal product search in the Submittal Generator.

Search using the product information associated with the datasheet, and Caident will display matching results from both your organization’s custom datasheets and Caident’s parts catalog.

To make the results easier to distinguish, search results are separated into two sections:

  • Custom Datasheets for documentation uploaded by your organization
  • Caident’s catalog for product datasheets available through Caident

This lets you quickly see whether a result comes from your team’s own collection or Caident’s catalog while keeping everything accessible from the same search workflow.

From there, select the datasheet you need and continue building your submittal package as usual.

More Flexibility Without Giving Up the Caident Catalog

Custom Datasheets aren’t intended to replace Caident’s existing parts catalog.

We’ll continue expanding the catalog and adding product datasheets so more of the documentation you need is already available when you start building a submittal.

Custom Datasheets provide another option for everything else.

When the product you need isn’t available yet, your organization can add the documentation itself, make it immediately available to the rest of the team, and continue building the submittal without interrupting your workflow.

Together, Caident’s growing parts catalog and your organization’s Custom Datasheets give your team a more flexible way to manage the product documentation used across your fire sprinkler submittal packages.
